Part 2: How LEAF Commercial Capital Prepared for Disaster – Out with Tape, in with the Cloud
Last week, in Part 1, we introduced LEAF Capital and how it began its journey to safeguard its business. This post will cover how replacing tape with DRaaS will free up time to provide your organization with more strategic IT support.
A significant 45 percent of respondents to Evolve IP’s disaster preparedness survey use backup tapes for DR, just as LEAF had been prior to switching to DRaaS. Tape-based DR is notorious for mechanical and reliability problems. Tapes are vulnerable to damage, as are tape drives, and can be lost easily. “We were constant buying new tapes and trying to fix existing ones. In addition, we had to courier or ship tapes back and forth to our prior vendor – this was expensive, a time drain on our team and slow – we could be down days at a time,” noted Lorenzon. “Evolve IP, in contrast, runs all the time. If there is a problem, we recover in minutes. And not only is disaster recovery more reliable, it’s less expensive and saves employee time for managers and staff.”
In Evolve IP’s survey, over half of organizations that experienced a disaster surveyed went down for more than a day as a result, so it’s clear that disasters are very difficult to recover from quickly when using traditional DR methods and technologies. For LEAF, it used to take at least 48 hours and that was with staff working around the clock to reload data from the back-up tapes and test the systems. Inevitably, something would be amiss or different teams in the company would be delayed in recovery. “Now, every department is recovered at the same time with just one phone call to Evolve IP. Data is recovered in near real-time so nothing is lost and all of our networking is tested and validated quickly at the site. We reload in a fraction of the time as we did with our legacy system.”
The leading cause of incidents, according to Evolve IP’s survey, is hardware failure/ server room issues (47 percent). A close second is environmental disasters, such as flood, fire, hurricane, or winter storm. It’s also interesting to note that 18.5 percent stated that human error was the cause of their organization’s incidents or outages – a risk that is negated when companies switch to a DRaaS system. However, the most telling statistic is 34.5 percent of respondents confessed that their recovery from such incidents took up valuable staff and management time that impacted their business. Evolve IP’s award-winning cloud service eliminates this resource drain.
Evolve IP provides a near real-time RPO (recovery point objective) – meaning, customers like LEAF recover data from almost exactly the point in time when the incident occurred so nothing is lost and can access it in minutes. Staff just point and click or make a call, saving man hours as well as system downtime. There is no longer extensive documentation, either, which is saves additional administrative time. Managers are finally rid of administrative oversight.
“Since replacing tape with Evolve IP DRaaS, I am now free to provide LEAF with more strategic IT support,” added Lorenzon. “We have saved time up front with initial implementation, we save time during a recovery and over the long-term, and we save time by no longer having to manage the equipment or maintain the system ourselves.”
One additional time-saving advantage that Evolve IP’s DRaaS solution brings to LEAF? Ease of use. A point and click, intuitive user interface requires practically zero training for LEAF and made the transition easy. It also provides Lorenzon with peace of mind when taking PTO since it’s effortless for any one on his team to step in and handle a disaster recovery situation.
LEAF Saves As Much Money as Time with DRaaS
Traditional DR solutions require companies to pay for server space, equipment, software and services – whether it is ever used or not. “With Evolve IP, we don’t have any of these types of expenses anymore because it is hosted in the cloud and purchased as a service so it’s now just an operating expense that we can manage,” said Lorenzon.
LEAF also saved money on resources. In order to properly perform due diligence on a data center provider, the company would have needed to hire additional staff who would be experienced in moving seven terabytes of data across the country. By outsourcing all DR functions to Evolve IP, LEAF can maintain a lean IT department as well as a reliable DR and business continuity plan.
